Downloading the app – Google Play Store

Android users: Go to the Google Play Store or open the Play Store in Apps.  Search for “QSROnline Scheduling” and select Install.  Follow the on-screen instructions to complete the install. The app is FREE to download.

Downloading the app – IOS App Store

iPhone users: Go to the App Store on your Apple device. Search for “QSROnline Scheduling” and select Get.  Follow the on-screen instructions to complete the install. The app is FREE to download.

Logging in to the App

Once installed, open the Scheduling app on your phone.  Click “Sign In” to continue.

Make sure you read and fulfill all the app requirements to use the app. Click “OK” to proceed.

Enter your cell phone number as prompted. Be sure to enter the same phone number that has been registered to your employee profile within the QSROnline system by your manager. Then click “Verify Via SMS”.

Immediately after, an SMS (text message) containing a 4 digit verification code will be sent to your phone. Check your phone for receipt of the code. Enter the 4-digit verification code into the app and click “Proceed”. Please note that the 4 digit verification code will only be valid for 10 minutes.

 

Click “Next” to begin using the Scheduling app.

Home Screen – How to View My Schedule

 

Upon opening the Scheduling app, your home screen view will be your upcoming scheduled shifts. You’ll have visibility of the current week’s and next week’s schedules within the two-week calendar at the top. To see your shift details, like what job you’re scheduled to work and your scheduled shift times, scroll through the schedule details on the bottom half of the screen. You can also click on a specific day within the two-week calendar to jump to that day for shift details.

Scheduling App Color Coding:

    • Grey days
      indicate the dates have passed.
    • Green lines
      represent your scheduled shifts. The location and length of the green bar are representative of the time of day scheduled and the length of the shift.
    • Red days
      indicate days that your are “off” or not scheduled to work.
    • Orange days
      indicate days that you have “requested off” and the request off time(s) has been approved by your manager.

How to Post Shifts for Trade

If you’d like to post one of your scheduled shifts for trade, allowing another employee to pick it up with manager approval, click the “Trade Shifts” icon in the top menu. Use the date picker to select the date of your unwanted shift. Click on the shift, enter the reason for posting, and select “YES” to agree to post your shift. Upon posting, fellow employees will see your shift as “posted” and can request to pick it up.

You can also “unpost” or take back a shift you have posted, if another employee has not yet picked it up. To do this, click on “Trade Shifts” in the top menu, locate and click on the posted shift, select “unpost this shift” to take back the shift.

How to Pick Up Shifts

As an employee looking to pick up extra hours or shifts, you can request to pick up fellow employees’ posted shifts, and your manager can approve the trade. To find “posted” shifts that are available for you to pick up, click on “Trade Shifts” in the top menu. Then, use the arrows to see the shifts posted each day available for pick up.

If you find a posted shift that you’d like to pick up (that also works with your existing schedule, click on a Posted Shift and press “Request This Shift”.

After requesting the shift, your manager(s) will receive a notification via QSROnline’s Managing App to approve or deny the trade. Once approved or rejected by your manager, both you and employee who posted the shift will receive a push notification and a message via the Scheduling app. An approved shift trade will immediately appear on your schedule within the app.

NOTE: Shift trades are NOT finalized or reflected on the schedule until your Manager has explicitly approved the trade using QSROnline’s Managing App.

Viewing Others’ Schedules

To see other employees’ schedules, select “Trade Shifts” from the top menu. Then, click on the “Others’ Schedules”. This will list all employees scheduled on the date selected and their scheduled shifts.

This feature helps answer the question, “Who am I working with tomorrow?”.

While viewing Others’ Schedules, you can also directly request to pick up an individual employee’s scheduled shift. Doing so will send a notification to that employee asking them to “approve” or “reject” your request. If they approve your request to take their shift, your manager will then need to approve the trade altogether in order for it to be reflected on the schedule.

How to Request to Work

You have the ability to broadcast a “request to work” to all of your fellow employees if you’re wanting to pick up extra hours. To do this, click “Trade Shifts” in the top menu. Then, click “Request to Work”. This will open message box shown above where you’ll enter details of your request like “Looking to pick up extra hours Friday”. Press “Send Message” to broadcast the request to fellow employees using the Scheduling App.

How to Request Time Off

Click on the “Request Off” icon in the top menu to start the process. Select the Date(s) for your request, and enter a Reason for your request. Press Submit to send the request to your manager.

Your manager will either “approve” or “reject” your requested time off. Upon their approval or rejection, you will receive an instant push notification on your phone and a message through the Scheduling app alerting you of the approval or rejection.

Requests Off cannot be submitted through the Scheduling app for days in which you are already scheduled or the schedule has been posted.

A pop-up will be displayed notifying you of this.  For these types of requests, you can attempt to post an unwanted shift for trade or contact your manager directly to request off.

 

After your request off has been submitted and approved, the date and/or time period will turn orange in color on the home screen of the Scheduling app.

Receive Messages from Management

See messages and alerts by clicking the “Messages” icon in the top menu.

 

Messages can include the following:

    • A new schedule has been posted for an upcoming week.
    • A change has been made to your schedule.
    • A shift trade has been approved or rejected.
    • A Request off has been approved or rejected.
    • A broadcasted message has been sent to you by your manager.

Most messages outlined above will also be sent to you in a push notification on your smartphone (so long as you have push notifications set to “on” or “yes” within the app’s settings on your phone).

Scheduling App Settings

There are 2 visual theme options under the “Settings” icon in the top menu.

The first option can change the theme from a red background to a black background.

 

You can also log out of the app under “Settings”. Keep in mind that logging out of the app will require you to enter your phone number again and receive another 4 digit verification code in order to login to the Scheduling app again.

Troubleshooting

“I cannot login to the app.”

– Please check with your manager to ensure your current phone number is linked to your employee profile within the QSROnline scheduling tool.
