Once you’ve created your first few schedules, you can lighten your workload by copying a previous schedule. No need to build a brand new schedule from scratch each week!
How to Copy a Previous Schedule
First, you’ll need to view and save your Sales Forecast for the selected week prior to copying in a schedule.
After saving your Sales Forecast, the following pop up will appear:
Click “Yes” to find the schedule you’d like to copy.
You can also click the Options button at the bottom of your screen and select Copy From to copy in a schedule.
Review your forecasted sales for the upcoming week at the top of the Copy From window.
For example: In the image below, the scheduler has a forecast $21,866.96 in upcoming sales.
Compare your upcoming sales figures to previous weeks’ Actual Sales in the rows below. Find a previous week that has Actual Sales close to your upcoming Sales Forecast. This helps ensure that you copy a schedule that will supply enough labor hours to adequately cover your projected sales.
Before selecting a similar sales week, you can also compare Actual Labor Hours and Labor Percent to ensure you’re not copying in a schedule that performed poorly.
Click on the Schedule Week that you’ve decided to copy in for next week’s schedule. The selected row will then be highlighted in orange.
You have two options when copying the schedule:
- Copy Jobs and Employees (the entire schedule)
- Copy Jobs Only (schedule template without employees).
After making your selection, press the “OK” button to copy in the schedule.
Shifts highlighted in red are unassigned shifts that need to be reassigned to another available employee. An unassigned shift is a previously scheduled shift that belonged to an employee who has since been terminated within the POS system. To reassign the shift, either double click on the shift or right click it. You can also delete the shift if deemed unneeded.
How to Copy a Single Day
You can now copy a single day’s schedule into another day. For instance, if Monday’s schedule will be the same as Thursdays, you can simply right click to selected day and select Copy Day. Right click the day you wish to copy in to and choose Paste Day.
Confirm you wish to replace or add the copied schedule into the selected day.
