QSROnline’s Scheduler provides the tools needed to easily create budget-friendly schedules that align with your labor goals!
Day View vs. Week View
Two different views are available when building your schedules, the Day View (displays a single day) and the Week View (displays the entire week.) By default, the Scheduler will open to the Day View.
1. Day View – A detailed hourly view that includes an easy to use drag and drop editor for adding shifts and making schedule adjustments.

Organized By: Job. The Day View groups shifts by Job in more of a deployment chart fashion.

Editing: Drag and Drop. Shifts can be lengthened, shortened, and re-assigned using the drag and drop editor.
- Grid Options: Hourly, Day-Part, and Daily/Weekly Totals. See more details on Grid options below.
- Most Helpful: The Day View is most helpful in making detailed adjustments to shifts after you’ve built out your weekly schedule. The detailed Day View allows you to make informed decisions and shift adjustments to ensure you’re hitting your labor targets, like Labor % and SPLH
2. Week View – this view displays the entire weekly schedule in a single view.

Organized By: Employee. The Week View groups shifts by the employee.

Editing: Drag and Drop. Shifts can be reassigned to other employees using the drag and drop editor.

Grid Options: Daily/Weekly Totals Only. Because the week View displays the entire work week in a single view, daily and weekly totals are shown in the Grid.

Most Helpful: This Week View is best for building out your initial schedule for the week offering visibility for all employees and each workday.
Grid Options
Grids display your Projected Sales, Sales Per Labor Hour, Scheduled Labor Hours, Allowed Labor Hours (If Setup for your Compan), Labor $, and Labor % based on the schedule you’ve created.
Grids update live as you’re building your schedule! To view the metrics listed above, choose from three different Grid Options: Hourly, Day-Part, and Daily.
Labor cost calculations are based on individual employee pay rates according to the Job each employee is scheduled. Labor $ are NOT averaged by Job. This means your Labor $ and Labor % calculations are spot on!
Grid Calculations Breakdown

Forecast/SPLH (Sales per labor hour) – Shows the hourly or daily forecast dollar amount. Also, the sales per labor hour will be displayed adjacent. this is the number of employees scheduled vs Projected Sales.

Scheduled / Allowance / Variance Hours – View the scheduled and allowed hours. The Variance hours row will adjust to green if less than suggested, white if matching, or red if over the allowance suggested.

Scheduled Labor $ and % – Calculated by the Scheduled Labor dollars by the Forecasted Sales dollars.
1. View Hourly Grid – The Hourly Grid breaks down key metrics by
hour, according to the projected hourly sales and scheduled shifts below.

Top Row – Sales Forecast and Scheduled SPLH by hour.

Middle Row- Scheduled Labor Hours (for non-salaried employees) and Allowed Hours by hour. The Variance Hours compare the difference between Scheduled and Allowed Hours.

2. View Day Part Totals – Groups and Sales and Labor metrics by Day-Part (AKA) B.L.A.D.E.

Middle Row – Scheduled Labor Hours (for non Salaried employees) and Allowed Hours by day. The Variance Hours compare the difference between Scheduled and Allowed Hours.

3. View Day Totals – Groups sales and labor metrics into daily totals throughout the week.

Day View
Adding Shifts in Day View
Add a shift in the Day View by right-clicking in the Schedule, close to where you want the shift to begin. Click New Shift. Select the employee and Job in the drop-down menus. You may edit the start and end time and employee comments. Click OK to add the shift. You will see the color-coded job added to the timeline. Also, not the shift totals and total hours the employee is scheduled to work are available to be viewed.

Editing Shifts in Day View
You can easily adjust the duration and start/end times of the shift by using the drag and drop features. Simply click on the shift and drag it to the appropriate start time. Shorten or lengthen the shift by hovering over the end of the shift until the double-sided arrow appears. Then, click and drag the end to the appropriate time.

You may also make adjustments by double-clicking the shift to bring up the New Shift window to re-assign, edit start/end times, delete, or change job codes.
Shifts Appearing in Red
Shifts shown in red indicate unassigned shifts, meaning an employee has not been assigned to the shift.

A Complete Schedule in Day View
A completed schedule will look something like this. You can see each job code is differentiated by color. To edit a shift, simply double-click it or right-click it. Use the drag and drop feature to move, shorten, or lengthen shifts.

Week View
A Complete Schedule in Week View
A completed schedule in the Week View will look something like this. This view provides a weekly overview of each employee’s schedule for the week. By default, the list of employees is sorted by the last name alphabetically on the left-hand side of the screen.

Adding Shifts in Week View
To assign an employee a shift choose the employee, find the day of the week, right-click the cell, and select New Shift. You will then use the drop-down to select the job and enter the start time. The shift will default to the length list as the Shift Length Default Number. You can edit the start or end time as needed.

Editing Shifts in Week View
You can easily adjust shifts by using the drag and drop features, simply click on the shift and drag it to the appropriate employee. Shorten or lengthen the shift by double-clicking the shift to bring up the New Shift window to re-assign, edit start/end times, delete, or change job codes

Right Click Options

You may also right click to view additional shift options.
Edit Shift – Will edit the selected shift.
Delete Shift – Will Remove the selected shift.
Copy Shift – Will copy the shift and allow to paste into another schedule.
Paste Shift – Will use the Cut or Copied shift and apply to the day/employee chosen.
Add Shift – If an employee needs to be scheduled for more than one shift per day use this option to separate the start and end times.
