Objective

QSROnline’s Managing App is specifically designed with managers in mind. The Managing App works in conjunction with QSROnline’s employee app, the Scheduling App. As a manager, you’re able to view daily schedules, broadcast messages, and approve/deny shift trades and employee requests off. 

How to Download the Managing App 

Managing App – Google Play Store 

Android users: Go to the Google Play Store or open the Play Store in Apps.  Search for “QSROnline Managing” and select Install.  Follow the on-screen instructions to complete the install. The app is FREE to download. 

Managing App – IOS App Store 

iPhone users: Go to the App Store on your Apple device.  Search for “QSROnline Managing” and select Get.  Follow the on-screen instructions to complete the install. The app is FREE to download.

How to Login to the Managing App

Open the Managing App and enter your existing QSROnline Username and Password into the required fields. 
You’ll use the same login credentials to login to the Managing app as you do logging into QSROnline’s scheduling system at my.qsronline.com.

View Daily Rosters

The Roster, which also serves as the app’s home screen, displays all employees scheduled for the selected day. You can choose to Sort By Start Time, Employee Name, or Job Name. Managers can also drill down into employee profiles from the Roster by clicking on any employee scheduled. 

Log Book 

Managers can easily take and share daily notes. Log Book notes are visible to all Managing app users with access to your store(s).
 

Employees List

The Employees list shows all Active employees imported into QSROnline from your POS data. QSROnline considers active employees to be those that do not have a “term end date” assigned to them at your store within the POS system. 
Adding/Removing employees must be done within the POS System.

How to Edit Employee Details

From the Employee list, drill down into individual employee profiles by selecting an employee. Within the Employee’s Detail window, you can do the following: 
  • Add or Edit the employee’s phone number. To do this, click on the pencil icon next to their phone number.
  • Edit the employee’s availability. To do this, click on the stopwatch icon at the top right. 
  • Add notes about the employee. Employee notes are shared with other Managing app users with access to your store. To do this, click on the pencil icon next to “no notes”. 
  • Call or personally Text the employee. To do this, click the phone icon or SMS icon, respectively. 
Personal phone calls and SMS text messages are NOT logged within QSROnline’s Managing app. These features are designed to offer added convenience when contacting your employees.

How to Broadcast Messages to Employees

The Broadcast Message feature allows you to send mass messages to all of your employees who using the QSROnline Scheduling app. 
Open the Broadcast Message window to type your message. From here, you have the option to send the message to “ALL EMPLOYEES”, employees “WORKING ON” on given day, or employees working specific “JOB CODES”. 
Press the Broadcast Message button to send the message instantly to employees via the Scheduling app. Employees will receive the broadcasted message via a push notification on their phone and a message within the Scheduling app on their phone. 
This is a GREAT tool for reminding your staff of important announcements, weather conditions, or new specials like “Half Price Shakes”! 
This feature will only send messages to employees using QSROnline’ Scheduling app.

How to Approve or Reject Employee Shift Trades

The QSROnline Scheduling app gives employees the ability to post unwanted shifts for other employees to pick up. As a manager, it is your responsibility to approve or reject the pending shift trades within the Managing app. 
View pending employee shift trades by selecting “Shift Trades” from the menu. You will also be alerted of new pending shift trades via push notifications on your phone through the Managing app (*Be sure your push notification settings are set to “on” or “yes” for QSROnline’s Managing app on your phone!) 
Pending Shift Trades will display requests for the next 31 days.  Select the shift trade request in order to Approve or Reject it.
Approve or Reject a shift trade based on the color-coded total hours indicator. Compare Clocked hours (total hours employee has worked this week), Remaining Hours (hours left on the employee’s schedule for the week), and Total hours (total number of hours employee will work if the trade is Approved by you). 
This tool aids in alerting you if the employee requesting to pick up the shift will go into overtime if the trade is approved. 
If Total hours (with the approved trade) will be 35<, they will be highlighted in red. 
If Total hours (with the approved trade) will be 0<35, they will be highlighted in green. 
Once you Approve or Reject the requested trade, both employees will receive push notifications and a message on their phones via QSROnline’s Scheduling app. 

How to Approve or Request Employee Requests Off

Employees can easily put in requests for time off using the QSROnline Scheduling app. Once the request has been submitted, it is up to the manager to approve or deny the request. Select “Requests Off” from the menu to review time off requests. 
By default, you’ll be able to see requests off for the next 2 weeks. You can expand this timeframe up to 1 year by clicking the All Request button. You can also sort requests off by Employee Name or Requested Date. 
You can block off days to prevent employees from requesting off through the Scheduling app by using the Manage Request Dates button at the bottom of the screen. This feature is helpful for days/weeks when you receive any employee requests for time off. (i.e. spring break and holidays) 

To approve or reject the Request Off, simply select the shift in question and hit Approve or Reject button. The employee will be sent a notification of the approval or rejection via the Scheduling app on their phone. 
Approved Requests Off are immediately reflected on the actual schedule for the specific day(s). 
All Requests Off that are NEITHER rejected or approved will automatically display on the Schedule with the job code auto-selected as Request Off for the given employee. 
Employees cannot request off from the Scheduling app for days in which the schedule has already been posted in the system.
